Resource access level vs resource ownership on SentenceBuilders

On SentenceBuilders there are 2 separate "metrics" that deal with who has access to a resource and what they can do with it. These are:

  • Resource access level
  • Resource ownership

Resource access level

On SentenceBuilders, the Resource access level determines who can access a resource and how visible it is to users on the platform:

Public (community) resources

  • All teachers can find the resource in the "Community resources" resource search. They can make their own copy if they wish, and they can set the resource as an assignment or competition
  • Teachers on your subscription will also see the resource in the "My school resources" resource search. They can make their own copy if they wish, and they can set the resource as an assignment or competition
  • Students will see it in "My teachers' resources" if it belongs to one of their teachers, and in "My school resources" if it belongs to a teacher on their subscription who is not one of their teachers

Unlisted (school only) resources

  • Teachers on your subscription will see the resource in the "My school resources" resource search. They can make their own copy if they wish, and they can set the resource as an assignment or competition
  • Students will see it in "My teachers' resources" if it belongs to one of their teachers, and in "My school resources" if it belongs to a teacher on their subscription who is not one of their teachers

Private

  • Only the resource owner can see the resource listed in the search. It will appear in "My resources" (as well as in "My school resources" and "Community resources") for the resource owner. Only the resource owner can make a copy. Only the resource owner can set the resource as an assignment or a competition
  • Students will not see private resources listed at all

Resource ownership

By default, when you save a resource on SentenceBuilders, the resource belongs to you (to your user account). If you save a resource in this default way, nobody else can edit it or delete it.

However, you also have the option to mark the resource as belonging to the school (see image above).

If you do this, it means that all teachers on your subscription can search for, access, edit and even delete the resource, irrespective of the "Resource access level" that you have chosen.

It essentially gives all teachers ownership of the resource, so in all scenarios it is treated as if it were their own resource.

When a resource is saved as belonging to your school, it shows with this icon at the top of the resource page:

... as opposed to this one, which means that it is your resource (and yours only). Note that the edit / delete buttons are there in both cases):

You'll also see the same distinction between "belonging to me" and "belonging to my school" in the resource searches and listings (again, along with edit / delete buttons in both cases). The 2nd icon shows that both resources are saved as "Unlisted (school only)":

As stated previously, saving a resource as belonging to a school gives all teachers on the subscription co-ownership of the resource, so it will also appear in "My resources" for all teachers on the subscription.

The "My resources" listing below shows 2 resources belonging to the teacher performing the search. The first one belongs to the school and the second one belongs just to that teacher. Both are saved as "Unlisted (school only)" as indicated by the school building icon:

Saving a resource as belonging to the school is a good way of keeping resources tied to a particular subscription even if there are staffing changes. But be careful! As stated above, all teachers can make changes or delete a resource that is saved in this way, so if you really want to ensure that nobody else can make a change to your resource, you're best off saving it as belonging to you.
